Thanks to many years of Membership_Committee activity, it's been possible to shape some common situations and address them with some Template Messages, which can obviously be customized case by case.

So these are the currently available ones, but everyone's free to improve them and/or add new ones for even more cases.

For new contributors who apply before 3 months of commitments are past

Hi, I'm feeding Your kind Membership request at The Document Foundation in quality of chairman|member of the Membership Committee.
To become member of the Foundation it is required a regular commitment to one of its Projects (LibreOffice or Document Liberation).

As per §10.1.a of our Statute [1], the candidate must have already contributed for at least 3 (three) months.

Only after 3 months of even small commitment done now and then, You may apply again for membership reporting some evidence of what done, for example through the username used on our platforms, so that we can easily check it and approve.

WARNING: if You were already aware of all this, I beg your pardon and ask You to kindly specify if and what contribution You made.

Moreover please be also aware that membership is reserved to "natural persons", as per §10.1 of our Statute, so You can ask for it just for yourself. If You're part of a company, please consider to let it apply for a seat on Advisory Board (§13 of our Statute).

I want to say a big Thank You for Your application and for being interested to us, hoping to see soon a new application from You, accompanied with useful info for its approval.

For people donating money and asking for membership

Hi, I'm feeding Your kind Membership request at The Document Foundation in quality of chairman|member of the Membership Committee.

To become member of the Foundation it is required a regular commitment to one of its Projects (LibreOffice or Document Liberation), but not in financial terms.
Although money donations are always welcome, the commitment needed to become part of the Foundation, acquiring voting right and eligibility, is about devotion to the project.

It's about dedicating part of Your own spare time in whatever activity could be useful and welcome to each other (You and the Project :).
So it could be in producing and/or translating in Your native language (LibreOffice, its guides, Web pages, Wiki, Manuals, Online Help), doing marketing (production of documents, videos, infographics, presentations, lectures, social networking…), bug hunting, reporting or triaging, developing source code, infrastructures health keeping (Servers - SysAdmin), making design (icons or whatever User Interface modification proposal).

Hence You just have to choose how and where to contribute, but it's important to do it regularly.
This means that translating 100 pages in a week end and never show up again for 6 months is not a devotion symptom for us, but surely an appreciated sprint.

For members who believe they shouldn't provide info, since they're long term contributors

Hi, I want to answer to your question in your application email: We, the volunteer-based MC, need to check formally the contributors' activity because of our statutes, as you should know.

It's not that easy to recall every single detail of all 200+ members, and sometimes tools like Pootle don't help, as it reports just last 30 days of activity, for instance. And sometimes even long contributors didn't fit in the aspects of membership. So they can't be automatically a member again. But they can obviously re-apply as soon as they have been able to contribute again.
 
Even TDF founders use to fill in the form with plenty of details, though we all perfectly know what they do, for the very same reason: respect of roles, others work and contributions.

So, for the next time, please spend five minutes to save much more time of every MC member and thus make it easier for us to accept your application.

And of course: Many thanks for your long term contributions to the TDF. They are very useful not only for us but also for the whole community.

For contributors who decide to not renew

Hi, I'm feeding your message to Membership Committee of The Document Foundation in quality of chairman|member.

I just want to express our gratitude on behalf of the MC itself and the whole TDF for what you have done in all this time. Thanks a lot.

Please remember that if you'll be able and willing to contribute again to one or more of our projects, we'll be glad to have you back in TDF.

So I wish this is not a goodbye but just cheers.

For contributors reported and/or found as deserving to have membership

Hi, I'm the chairman|a member of The Document Foundation's Membership Committee. We've noticed that you're regularly and proficiently contributing to at least one of our projects from a while.

That's why we are writing you this message. According to TDF's Statute[1] §10, we believe you'd deserve to be part of our Foundation. So if you are interested and feel comfortable with our whole Statute, please let us know through the application form[2].

Otherwise, please just forgive our officiousness :)

In any case, I just want to express our gratitude on behalf of the MC itself and the whole TDF for what you have done in all this time. Thanks a lot.
